Managed phone answering & scheduling

AI phone answering.
Set up and managed.

A managed AI receptionist for plumbing, HVAC, landscaping, and other service businesses—with Pelagova handling the setup and ongoing technical work. We configure the system around your services, booking rules, and the moments that need a person.

Already have software? We assess it. Starting with a phone and a calendar? We help put the right foundation in place.

Built around your operation

From choosing tools to keeping them working.

You can hire us to implement existing software. A missing feature is not a requirement. The proposal defines which workflows and ongoing work are included.

01 · SET UP

The right foundation.

We assess your phone and calendar, select suitable tools, configure the agreed connections, and organize where caller information and booking requests go.

02 · TEST

Your rules in practice.

We configure and test the agreed call flows: what to ask, which appointments can be booked, and when to collect details or involve your team.

03 · MANAGE

Support after launch.

We monitor the agreed workflows, investigate issues, and adjust the setup as your hours, services, and practical needs change within scope.

An example workflow

A call comes in while you are on a job.

For a plumbing business, an agreed setup might collect the caller's name, address, and reason for calling, check the service area, and offer an eligible appointment.

If the request falls outside the booking rules, it can collect details for review. An urgent request follows the handoff process you approve rather than inventing availability.

Illustrative workflow, not a client result or a promise that every calendar supports every action. The final flow depends on your tools and approved scope.

Your business stays yours

You set the boundaries.

  • Your service area, hours, and job types.
  • Which appointments can be booked and which need approval.
  • Who receives urgent or unusual requests.
  • What the system can tell a customer about timing and prices.

You provide access and approve the workflow. Your team delivers the service and makes judgment calls. We handle the agreed technical work and walk you through the parts you will use.

Before you commit

A defined scope. A clear proposal.

Start with a 30-minute discovery call. Bring your current phone and scheduling setup—or tell us you are starting without one.

THE WORKFLOW

What will happen.

We define the tasks, booking limits, required connections, and human handoffs before building.

THE COST

What you are paying for.

Your proposal explains setup work, monthly management, and any separate software or usage charges that apply.

THE TIMELINE

Build, launch, refine.

Most systems launch within 2–3 weeks, depending on scope and access. The first 90 days cover building, testing, and tuning; then service is monthly with 30 days' notice to cancel.

Practical questions

Phone answering questions.

We assess your current tools before promising an integration. Booking depends on the access and features your software supports. Tell us what you use, including Google Calendar or a field-service app, and we will confirm what can be connected and tested within your proposal.

Urgent calls need rules approved by your business. We define what information to collect and how to notify or hand off to your designated person, subject to the tools available. The system should not promise emergency attendance, diagnose a hazard, or confirm a dispatch your team has not authorized.

Crew planning is a separate workflow from booking a call. If it is your main need, we can assess suitable scheduling software and help configure the agreed process. Multi-crew availability, travel time, and weather changes need explicit rules; they are not assumed to be included in every phone-answering setup.
